By way of purchasing your class pass/membership you:

Confirm you have no physical limitations preventing you from participation.Consent to exercise under your own risk. Agree that any injury incurred before, during or after class is not the responsibility of Soul Sanctuary or any of their team members.Confirm that you have approval from your doctor to exercise. Understand that all applicants under the age of 16 years must have consent from a parent or guardian to attend class, please complete the Youth Waiver and follow the steps here. No under 16’s will be allowed to wait in the premises or studio unsupervised. Agree to abide by the rules and regulations of the studio and acknowledges that these rules and regulations may change from time to time. Release Soul Sanctuary, its owners, directors, managers and all employees of all liability regarding 1) any injury to self or child 2) any loss or damage to personal property. If purchasing packages that require payments to be made in instalments, the applicant agrees to approve such instalments be made by credit card on the dates as predetermined in the services contract. Understand that a class pass expires 6 months from purchase date. Understand that membership contracts have a 3 month non-cancellation or downgrade policy and refunds are not available. Must request contact cancelation to avoid debt accumulating on account. Take full responsibility for any monthly payments made to Soul Sanctuary. Refunds are not available for ‘unnoticed’ payments.

Intro Offers

Intro Offers are for NEW students only, to help them see how much yoga they can fit into their week – this will then inform which membership suits them best! Intro Offers vary in length according to the offer at the time, access to the studio starts from the moment you purchase the pass, so if you purchase a 20 day Intro Offer on the 3rd of the month, you have access to unlimited classes until the 23rd of the month. If you purchase your offer at the end of the month, the days of your access run into the following month. You are only permitted to purchase 1x Intro Offer per person, if you purchase a second offer it will be revoked from your account and your payment will go towards a platinum membership which offers the same access (unlimited classes).

Membership Contracts

Memberships can be upgraded at any time, with at least 2 weeks notice before the next payment is due. Downgrades or cancellations can only be made at the end of the 3 month non-cancellation period. After this 3 months period, you can downgrade / upgrade or cancel your membership through contacting the Studio Manager on info@soulsanctuarystudios.com at least 1 month prior to the start of your next contract payment. If you remove payment method from your account without requesting contract termination, payments will continue to be added as debt on your account which must be paid off. It is not possible to receive a refund or discount mid contract. 
You can purchase memberships via the app. To set up a monthly Autopay, you will need to use a Credit/Debit Card on the desktop site, rather than the app. You can set up an Autopay using Direct Debit, however this needs to be done in person / over the phone.
 Please note that direct debits do not allow for direct refunds through Mindbody, hence we encourage the use of Credit / Debit cards, to facilitate a simplified process. Annual memberships cover you for 12 months unlimited yoga from date of purchase and are non-refundable. Annual Memberships offer unlimited yoga and all other benefits that Platinum members receive, including discounts to teacher training and retreats, subject to availability.

Bronze memberships allow 1 class / week

Silver memberships allow 2 classes / week

Gold memberships allow 3 classes / week

Platinum memberships allow unlimited classes

Off Peak memberships mean you do not have access to classes past 17.00 or weekends.

Weeks run from Monday – Sunday, passes cannot be carried over to the next month. If you would like to attend and extra class you can purchase a ‘Bolt-On’ class.

Account Debt

How to check your outstanding account balance:

1. Log into your Mindbody account online (not using app)

2. Click on MY INFO tab along the top

3. Click on ACCOUNT button on far right

4. Check ACCOUNT BALANCE in the bottom right-hand corner

How to pay off account balance:

1. Click on ONLINE STORE

2. Click on ACCOUNT PAYMENTS

3. Choose ACCOUNT PAYMENT from the drop down menu

4. Enter account balance and click MAKE PAYMENT

5. Follow steps to complete the sale

Points

10 points earned = £1 credit onto account

£1 spend = 0.5 points

£2 spend = 1 point onto account

£75 autopay = 37.5 points = £3.75 credit onto account

£50 autopay = 25 points = £2.50 credit onto account

£20 workshop = 10 points= £1 credit onto account

Booking classes = 1 points, 10 classes = £1 credit onto account

Referring a client = 100 points = £10 credit onto account

Booking appointments = 100 points = £10 credit onto account

  • Once the software know which client is logged in, it will ask the client if they want’s to use the points to pay for the purchase.
  • Purchases made with reward points cannot be discounted.
  • Clients do not earn rewards points for non-cash equivalent transactions.
  • Points are not doubled when two or more activities are joined together. For example, if a client books and pays for an appointment online, they will receive points for either booking online or for making a purchase—not both
  • Clients can view reward points totals while checking out in consumer mode, or by clicking the My Info tab and selecting Account. Currently, consumer mode is the only platform available for checking rewards balances.

Rewards are earned on:

  • Account payments (paying off debt)
  • When purchasing account credit
  • Purchasing a gift card
  • Autopays
  • Purchasing items (hoodies / water bottles / towels etc)

Points are rewarded based on a single task in a workflow. For example, if a client books and pays for an appointment online, they will receive points for either booking online or for making a purchase—not both.

Rewards are not earned on:

  • Any kind of comped account credit purchases
  • Any payment method not marked as “cash equivalent”
  • Requested appointments—they must be confirmed to receive point

Class

Payment for all classes must be received 7 days prior to the scheduled class date to ensure your place. If you cancel your space in class before 6 hours from class start time you will not incur a cancellation charge. If you cancel your space within 6 hours of the class start time, is considered a ‘late cancel’. Late cancels incur a cancellation fee of £5.00 to your account, this can take up to 72-hours to be processed after class. This is to ensure that students who are on the waiting list have a chance to get to class and to prevent block booking without attendance. If you have put yourself on the waiting list, it is your responsibility to check if you are added into class.

We ask that students arrive 5-10 minutes before class start time. If you arrive after the class start time please do not come into the classroom. The cafe is closed for pre and post work classes so the front door will be locked at the class start time. We aim to promote respect for our students by starting and ending class on time and respect for teachers by arriving in time. Lateness results in a late cancel charge as stated above.

Please prepare yourself before class – bring a towel, water, or anything else you need so that once you are comfortable on your mat you can stay for the duration. This includes ensuring that you don’t need to leave due to parking expiration. Classes are full, with students seated close to the door so entering or leaving can be disruptive to fellow students’ practice.

Block booking is prohibited – you will only be able to book up to 2 weeks in advance to ensure new students are able to attend class.

Soul Sanctuary teachers may cover each other’s classes. No refunds will be given due to change of instructor.

At times, Soul Sanctuary studio may close or classes may be rescheduled or cancelled due to community members taking priority using the space, or if Soul Sanctuary teachers are on training, retreat or unavailable. No refunds will be offered for class change or cancellation. Depending on the duration of studio closure, a discounted monthly rate may be offered at Soul Sanctuary’s discretion, in this case members would be notified accordingly.

Private Classes

Private classes last for 45 minutes and are deemed non-refundable if cancelled within 12 hours of class start time.

Workshops

Workshops are non-refundable and payment cannot be exchanged for other classes. Tickets are discounted according to valid membership at the time of booking.

Offers

Offers may be given mid-month, no discount or refunds will be available for those who have purchased membership at original price.

Pregnancy

If you think you may be pregnant it is important that you email info@soulsanctuarystudios.com to let us know, all information will be confidential, but this allows us to direct you to pregnancy yoga appropriate classes and ensures you are safe in class. It is not recommended to practice yoga before 13 weeks. We are able to freeze your account during pregnancy but we do not offer refunds for the remainder of the month. We discourage and do not take responsibility for those who are pregnant and choose to attend non-pregnancy yoga classes. Only pregnancy yoga classes offer the time and attention required to ensure you are safe. We happily refer pregnant students to Polly Woodward, our Trusted Partner – please contact polly@yogabellies.co.uk to arrange your pregnancy yoga classes.

Membership Questions

How does the 30 day offer work?

If the 30 day offer is available, you are able to purchase a 30 day pass which entitles you to unlimited classes. The offer will run from the date of your purchase onwards for 30 days. If this is a month special offer e.g December offer, you can still purchase your pass on the 31st December and it will run 30 days into the next month. This offer is only for new students who have not visited the studio before. If you have already been to the studio you will not be able to purchase the pass on your account. We are able to track accounts which need to be merged, so please note if you create a second account for this offer you will be charged for a month of Gold membership at £70, which offers the same access to class.

How does an ‘Intro offer’ work?

What counts for pension/retired/unwaged documentation?

Any authentic documentation which is evidential of you being categorised as one of the above.

Can I carry my Silver passes over?

No, as stated on the classes and membership page, Silver membership entitles you to 2 classes/week which cannot be carried over (this may appear as 10 passes maximum for the 5 week months but is not indicative of a 10 class pass). This is a membership not a class pass, we do offer a class pass of 5 classes which can be used over 6 months.

I have a monthly membership so why can’t I book into class?

Usually this is because you have exceeded the amount of classes that your membership allows that week – this includes waitlists. It could also be because you have debt on your account above £20 and so your account may be blocked. See steps below to pay off account debt.

Can I pause my membership for holiday?

As stated in the T&C’s we cannot ‘pause’ memberships for any other reason than medical reasons. Memberships are 3-month contracts, you would need to wait until the 3rd month after your most recent payment and then request to cancel your contract. You cannot simply remove your card from the account as the charge will accumulate as debt on your account. If you do not want to be tied into a 3-monthly contract (which offers the discounted class rate), a class pass is available at a slightly higher class rate.

Can I pause my membership for illness/injury?

If you have a signed doctors note that you can share with us you can cancel your membership and restart the membership when you are ready to come back to class. Memberships can only be renewed 3-monthly, you will not be refunded mid month as stated in T&C’s online and at point of purchase. You cannot ‘pause’ your membership for illness, injury, holiday or any other reason without medical signature.

Can I practice yoga if I have a bad back?

Please seek advice from your doctor to see whether you should be practicing yoga. If you are told that it will be helpful for your injury by a medical professional we can help you modify in class.

Should I practice yoga if I have a cold/flu/bug?

We do ask that if you are sick you take rest. It is usually your bodies way of asking you to rest, and we want to avoid making other students ill in the studio.

If I have a heart/cardiovascular condition what do I do?

Please seek advice from your doctor to see whether you should be practicing yoga. If you have any current or history of heart or cardiovascular conditions it is your responsibility to let us know, and to share a letter of consent to practice yoga signed by your doctor, as stated in T&C’s.

Do I lose a class pass with my late cancel?

No, you will only be charged for a late cancel, not lose a pass.

What happens if I don’t have a credit card on my account to pay a late charge?

The charge will be added to your account and you will need to pay off the charge before your next class.
